If someone using Outlook wants to share a distribution list with another Outlook user, they just have to drag the DL from the Contacts folder into an email message, and send it. But, if you are the receiver, what do you do to "unpack" the distribution list? I found these steps on this page, and made my own screen-shots based on this technique.
Note: Outlook Express has a different way of distributing "Groups" - see this page!
A) First, open OUTLOOK |
B) There should be one or more attachments to the message, these are the DLs (distribution lists). We need to, one by one, double-click on each one to open it. |
C) Once you have double-clicked, you should get a "distribution list" dialog box. We want to click on the FILE menu. |
D) Click on the COPY TO FOLDER option. |
E) The first time you do this, you'll probably see all the folders "collapsed" - click on the little + button next to Personal Folders, and then click CONTACTS once to select it, then click OK. |
F) We can close that first distribution list using the little X in the upper right corner of the DL dialog box. |
G) Then, go on to the next DL, and repeat the steps above, until you are done. |
H) For example, here are 4 DLs that have been added to my Contacts folder - notice the "multiple people" icon to denote the DL name. Now, something to note: these DLs are "self-contained" - I didn't get a contact added separately for each of the people inside the DL. You can always double-click on a DL and make changes to the people in them. |
I) Now to put it in action .. if you go to send a message, you can just type, for example, Scidean and then fill in the subject line, etc. Outlook usually "auto-suggests" as you start typing .. maybe my system is slow, but after I left the TO box, the name soon switched to the "linked" version shown here (meaning, that it had caught up to me, and found the Scidean DL). [But, in the old days, I had to use the full scidean @ltu.edu address - I've saved some typing!!] |
